Administrative Assistant
Our Client, a leading automotive parts supplier in Scarborough, is urgently hiring an Administrative Assistant, to schedule and confirm appointments, answer/relay telephone calls and messages, answer electronic enquiries, compile data, statistics and other information, order office supplies and maintain inventory, greet/direct people to contact or service areas, and set up/maintain manual and computerized information filing systems.
Benefits:
- $60,000 per year (based on experience)
- Benefits and Vacation time (post-probation – 3 months)
- Accessible via transit, and free onsite parking
Responsibilities:
- Respond to client inquiries and follow-ups via email, phone, in-person, and social media platforms.
- Provide clients with quotes and invoices as needed.
- Manage and schedule client orders, coordinating with screen printers and clients to ensure timelines are met.
- Share mock-ups from graphic designers with clients for approval and set production schedules accordingly.
- Maintain and organize important documents, including work orders, packing slips, and invoices in the appropriate folders.
- Ensure the showroom is well-organized, stocked with samples, and presentable for clients.
- Assist in folding and packaging merchandise to ensure high-quality standards are maintained.
- Manage social media advertising campaigns and send marketing materials to prospective clients.
- Perform any other tasks based on current project needs.
Requirements:
- Familiarity with Photoshop and Illustrator.
- Proficiency in Microsoft Office, including Excel, Word, and Adobe Acrobat (fillable PDFs).
- Strong communication, interpersonal, and customer service skills.
- Exceptional organizational abilities and attention to detail in a fast-paced environment.
- Self-motivated with a proactive approach to tasks.
- Ability to build strong working relationships with team members.
- Strong analytical and problem-solving skills, capable of developing action plans.
